Roles


SECRETARY

The Secretary is a core officer of the Executive, responsible for the flow of information to support Board. The Secretary role is a two-year term (June 2025 to June 2027).


Responsibilities

● Serves on the Executive Committee

● In the absence of the President and Vice-President, chairs Board meetings

● Ensures hard copies of corporate documents are on file for eventual transfer to archive

● Keeps accurate minutes and records all corrections, including e-votes

● Keeps copies of minutes of both Board and Committee meetings

● Keeps copies of the organization’s bylaws and the Board’s policy statements

● Keeps lists of officers, Board members, and committees

● Keeps records of Board attendance

● Maintains the Society’s historical files

● Ensures members are notified of general meetings

● Makes sure that there is a quorum at Board meetings

● Manages Board correspondence and keeps all records

● Notifies Board members of meetings

● Orients the incoming Secretary

● Provides list of new Board members and contact information to CPRS National


MEMBERSHIP ENGAGEMENT CHAIR

The Membership Engagement Chair is responsible for managing member administration as well as overseeing member recruitment and retention efforts.


Responsibilities

● Develops, executes, and evaluates the annual portfolio plan and budget

● Liaises with other Committee Chairs to ensure awareness and cross-portfolio support

● Presents new members with their membership certificate and a copy of the constitution and bylaws

● Monitors and reports on membership

● Develops an annual membership plan/program with the Board that includes a recruitment and retention goal for the year

● Recruits new members

● Coordinates efforts to retain members in conjunction with the program committee

● Develops or obtains a membership recruitment package/tool that promotes the benefits of membership

● Pursues membership leads

● Maintains a membership mailing list

● Receives membership updates from the National Office and requests Database Manager to update mailing list

● Conducts exit interviews with non-renewing members

● Builds and monitors the membership committee budget

● Reports new membership to Board meetings


BOARD MEMBER (DIRECTORS)


Responsibilities

• Make a serious commitment to participate actively in Committee work. 

• Volunteer for and willingly accept assignments, and complete them thoroughly and in a timely fashion. 

• Stay informed about Board matters, prepare for meetings, review and comment on minutes and reports. 

• Get to know other Board members and build a collegial working relationship that contributes to consensus. 

• Is an active participant in the Board's annual evaluation and planning activities. 

• Carry out the role of Board liaison in a responsible fashion, by attending the committee or council meetings, reviewing materials before those meetings, voting responsibly and without trying to unduly influence the members of the committee or council. The Board liaison should bring to the attention of the Board any committee or council initiatives that may have an impact on the strategic vision of the Society or that may affect the larger Society and should also impart to the committee or council how their projects fit into the larger strategic vision. 

• Participate in securing sponsorship for the organization. 

• Share knowledge, files, etc. as an outgoing Director with incoming Directors to facilitate a smooth transition and to ensure that new Directors understand their responsibilities and tasks.
